JOB BRIEF

As the Head of PayrollManagement in a Business Process Outsourcing (BPO) company, with a backgroundin HR or Chartered Accountancy (CA), you will be responsible for overseeing allaspects of payroll processing, compliance, and management. Your role willinvolve managing a team, implementing efficient payroll systems, ensuringaccurate and timely salary disbursements, and maintaining compliance withrelevant laws and regulations.

REQUIREMENTS

  • Bachelor’s or Master’s degree in Human Resources,Finance, Business Administration, or a related field. CA qualification ishighly desirable.
  • 10 years of experience in payroll management,preferably in a BPO or shared services environment.
  • In-depth knowledge of payroll processes, laborlaws, tax regulations, and statutory compliance.
  • Strong understanding of payroll software, systems,and relevant HRIS platforms.
  • Proficiency in using payroll software,spreadsheets, and other relevant tools.
  • Excellent analytical skills with a keen eye fordetail and accuracy.
  • Leadership abilities with experience in managing ateam.
  • Strong communication and interpersonal skills tointeract with employees, vendors, and stakeholders.
  • Ability to handle confidential information withintegrity and maintain high levels of data privacy and security.
  • Up-to-date knowledge of industry trends, bestpractices, and emerging technologies in payroll management.

RESPONSIBILITIES

1. Payroll Management:

  • Oversee end-to-end payroll management processes,including salary calculation, attendance tracking, deductions, reimbursements,and tax compliance.
  • Implement and maintain efficient payroll systemsand software, ensuring accurate and timely processing of payroll for allemployees.
  • Coordinate with cross-functional teams, such as HR,Finance, and Operations, to gather payroll-related information and resolve anydiscrepancies.

2. Team Management and Leadership:

  • Lead and manage a team of payroll professionals,providing guidance, training, and performance evaluations.
  • Allocate resources, set priorities, and ensure theteam meets payroll processing deadlines.
  • Foster a positive and collaborative workenvironment, promoting continuous learning and development within the team.

3. Payroll Compliance:

  • Stay updated with relevant labor laws, taxregulations, and statutory requirements pertaining to payroll processing.
  • Ensure compliance with applicable laws, such aswage and hour laws, tax withholding, social security, and employee benefits.
  • Conduct periodic audits to verify accuracy andcompliance of payroll records and processes.

4. Payroll Administration and Documentation:

  • Maintain accurate and up-to-date payroll records,including employee information, salary details, tax records, and deductions.
  • Generate payroll reports, payslips, and otherrelevant documentation for management and employees.
  • Safeguard sensitive payroll data and ensureconfidentiality and data privacy.

5. Vendor Management:

  • Collaborate with payroll service providers orexternal vendors to ensure seamless payroll processing and resolve any systemor service-related issues.
  • Evaluate and negotiate contracts with payrollservice providers, ensuring cost-effectiveness and service quality.

6. Process Improvement and Automation:

  • Identify opportunities for streamlining payrollprocesses and improving efficiency through automation and system enhancements.
  • Analyze existing payroll procedures and recommendprocess improvements to minimize errors and reduce manual interventions.
  • Implement best practices and ensure adherence tointernal controls for payroll processing.

7. Employee Support and Communication:

  • Address employee queries related to payroll,deductions, taxation, and other payroll-related matters.
  • Communicate payroll policies, procedures, andchanges to employees in a clear and timely manner.
  • Provide training and guidance to employees onself-service portals and tools for accessing payroll information.
